Membership cards as a payment method: faster service in clubs and lodges

How a prepaid balance linked to RFID membership cards works — from top-up and purchase to permissions and follow-up.

When the membership card is already in the wallet, it can also become a fast way to pay at the association's bar. The member tops up a balance and taps the card at the point of purchase, without taking out a phone for every order.

How a purchase works

  • The member tops up their balance using an available payment method.
  • The balance is linked to the membership card in the system.
  • When ordering, the items are registered at the till.
  • The card is tapped and the amount is deducted from the balance.
  • The purchase appears in the digital history and can be followed up in the reports.

What happens if the card is lost?

It should be possible to block the card so it can no longer be used. Because the balance is managed in the system and is not cash stored on the card itself, the organisation can follow its established procedure for linking the member to a new card.

Have a clear identity check and decide which administrators may block or replace cards.

The same RFID card in more flows

For an organisation that uses Tekapo Access, the same type of card can create a connected member experience: the card identifies the person at the door and is used as a payment method at the bar. Access and payment are separate functions, even though the member carries a single card.

Good routines for balances

  • Show the member their current balance in an understandable way.
  • Decide how refunds of any remaining balance are handled.
  • Document corrections and manual balance changes.
  • Limit administrator permissions.
  • Regularly reconcile the total member balance against the bookkeeping.

The key takeaway

The membership card simplifies the purchase, but confidence comes from clear rules for balances, blocking and administrator permissions.
