SMS, iMessage or email: which channel should your association choose?
A decision model for when associations should choose SMS, iMessage or email — and how the channels can work together without overwhelming the recipient.

The channel should follow the message. A long newsletter belongs in email, while a time-critical change may need to reach the phone directly. When several channels are managed together, it becomes easier to pick the right one without duplicating everything by hand.
Email for content that needs space
Use email for newsletters, minutes, invitations with plenty of detail and content the recipient may want to come back to. A clear subject line and a single important next step make the mailing easier to take in.
SMS and iMessage for short, timely notices
Mobile messages suit reminders, changed times and information that needs attention quickly. Keep the text short, make the sender clear and link onwards if the recipient needs more information.
iMessage can be used when the recipient's and sender's devices support it, while SMS reaches ordinary mobile numbers regardless of phone type.
A simple decision model
- Is the content long or rich in detail? Choose email.
- Is the message short and time-critical? Choose SMS or iMessage.
- Does the recipient need to find the information much later? Send an email and use the phone as a reminder.
- Does the message concern only one group? Segment before you send.
- Is a person's contact detail missing or out of date? Decide on a fallback channel.
Respect the recipient
Only send relevant information to the right group. Keep the member register up to date, be clear about why the data is used and make it easy to correct contact details or change preferences. Marketing is subject to different requirements than necessary member information; always assess the purpose and the legal basis.
The key takeaway
The best channel is the one that suits both the urgency of the message and the recipient's needs — not the one that happens to be easiest to send from.
